Job Description
The Office Services Coordinator will report to the Office Managers and is a key member of the administrative team, responsible for maintaining the day-to-day office flow and ensuring operational support across departments.
- Handle printing, scanning, copying, and mailing needs for the office
- Pick up and distribute daily mail and packages (FedEx, UPS, USPS)
- Ensure outgoing shipments are correctly labeled and sent out on time
- Restock copy and printer stations daily
- Deliver inter-office mail hourly
- Assist in preparing materials and rooms for trials, meetings, and events
- Perform light copier maintenance (e.g., toner, paper orders, basic troubleshooting)
- Keep conference rooms and common areas clean and stocked
- Coordinate delivery schedules and make occasional local pickups/drop-offs
- Support office supply and kitchen inventory management
- Cover receptionist desk when needed
- Participate in office setup and cleanup for special events
- Other duties as assigned
Qualifications
- High school diploma or equivalent
- Minimum of 1 year of experience in a legal/law firm setting
- Strong communication and interpersonal skills
- Proficient in Microsoft Office (Word, Outlook, Excel)
- Able to handle physically active tasks (lifting up to 10 lbs, event setup/cleanup)
- Must be flexible to work occasional overtime or adjust hours for early arrivals/late departures
